We are currently seeking an Office Manager to join our team and play a pivotal role in our ABA practice's smooth operation.
The Office Manager will be responsible for a range of tasks, including managing communication, staff training, clinic organization, and the maintenance of therapy rooms as per Treasure Coast ABA Services (TCABAS) guidelines.
Additionally, the Office Manager will be responsible for supply management, program and materials procurement (as directed by TCABAS).
This role includes maintaining the facility in compliance with local codes, and handling various other responsibilities such as updating social media and organizing special events.
We are looking for a dedicated professional who can efficiently manage these tasks and contribute to the overall success of the practice.
Key Responsibilities: Administrative Management: Oversee the daily administrative operations of the ABA clinic, maintaining efficient and organized processes.
Manage office supplies, equipment, and inventory, ensuring adequate levels.
Maintain accurate and up-to-date client records, documentation, and billing information.
Team Support: Provide administrative support to the clinical team, including supporting the Scheduling Coordinator with scheduling, coordinating meetings, and maintaining staff schedules.
Assist in the recruitment, onboarding, and training of new team members.
Serve as the primary point of contact for team members regarding administrative inquiries.
Client and Family Support: Act as the primary point of contact for client inquiries, and addressing client and family concerns.
Provide excellent customer service to clients and their families, fostering positive relationships.
Ensure strict confidentiality and security of client information and records.
Financial Administration: Assist in the billing and invoicing processes, including verifying insurance authorizations and preparing billing to be processed.
Monitor accounts receivable, facilitate timely payment collection, and help resolve billing issues.
Collaborate with the finance department to maintain financial health and compliance.
Office Efficiency: Develop and maintain office policies and procedures to enhance overall clinic efficiency.
Identify opportunities for process improvement and implement changes to optimize the clinic's performance.
Collaborate with other departments to ensure seamless clinic operations.
Qualifications: *Associate's Degree or Bachelor's in business administration, healthcare management, or a related field is preferred* Previous experience in an office management role, particularly in a healthcare or an ABA setting, is a plus.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in using office software and scheduling tools.
Knowledge of ABA therapy principles and terminology is advantageous.
